Equipped for the future: BPM inspire controls the processes used by Deutsche Post's digital mailbox service

The BPM suite from Inspire Technologies, the process management specialist, provides core technology for the digital incoming mail service (DiPS) operated by Deutsche Post (the German postal service). The digitization of incoming mail is an added value service provided by Deutsche Post. It is designed to relieve companies of the burden of processing documents, and digitizes incoming mail as soon as it is received. The growing significance of digital processes has caused this service to become ever more popular – for example, the environmental premium charged by the German Federal Government every time a new automobile was bought generated a huge mountain of additional paperwork. More than 20 million sheets of paper had to be scanned in the Deutsche Post digitization centers, just to handle these applications alone. This is only one of the reasons why this project is currently being extended enormously to include services such as automatic classification and content identification. The BPM inspire suite is the core of the systems for managing these complex processes and processing these immense mountains of information.
Since November 2006, companies have been able to get their day-to-day incoming mail digitized by Deutsche Post so it can be delivered to them electronically. Invoices, complaints, purchase orders, forms and other written communications are sent directly to the company, in digital form. As a result, a customer request received by the company can be processed that very same morning, by any of the company's sites, even if it has been addressed to the head office. Deutsche Post helps companies by making their digital documents available quickly, and improving processing tasks to achieve significant improvements in cost and quality. Once a document has been scanned in the mailbox, the service offers a range of automated classification options. Documents can be classified as orders, invoices or complaints, or by sender data, customer number, order number or invoice number. Thanks to this service, digitized letters can then be assigned to individual departments, officials and customer data records at a later point in time. At the same time, this classification process forms the basis for outsourcing entire business processes, such as vendor or complaints management. Future-proofing the system was one of the critical requirements Deutsche Post had for the process management solution entrusted with digitizing incoming mail: it had to be possible to integrate new services quickly and easily. BPM inspire's modular structure and exceptional flexibility handles all of this with ease. Since the service was first implemented, new offerings, such as functions for classifying a document's contents or extracting data from a document have been introduced. These have all been integrated into the process management solution seamlessly.

"It is obvious that process management is of critical importance for a project of this complexity," said Holger Schattke, Director of the Digital Incoming Postal Service (DiPS) at Deutsche Post. "We decided to use BPM inspire specifically because this platform is so flexible and scalable. As shown by the current extension of DiPS, we made the right decision. The system coped with the integration of the new service modules without any trouble." As DiPS is extended, the BPM inspire central process management platform simply grows along with it. In this flexible system, all of the processes, including rules, plausibilities, and escalation scenarios, can be defined and designed for each individual customer. As a means of meeting customer requirements as simply as possible, BPM inspire also provides its users with options for creating and changing their requirements themselves. Thanks to the graphical process modeling functions, no programming expertise is needed to achieve this. Companies that operate a modern Business Process Management (BPM) suite gain particularly huge benefits from the digital incoming mail service, because they can integrate it directly into their existing systems. This avoids media discontinuities, and all the processes in the company can be consistently refined and improved. BPM inspire offers a host of solutions – for example, invoice processing, incoming mail processing, travel cost workflow, vacation and absence workflow, complaints management or HR management – to ensure that all the information a company receives as documents, or other media, can be processed efficiently.

Thoroughly analyzed


After an extensive analysis process, which put the central process monitoring functions and the solution's flexibility, performance and scalability through their paces, Deutsche Post decided to select BPM inspire. Even more tests were also conducted in an Oracle database-based Sun environment. The basic hardware used here was a V890 server with four processors. In this test, BPM inspire achieved a performance of 33,000 processes (330,000 transactions) per hour. At the end, it was BPM inspire's exceptional performance and scalability that made it the obvious choice for Deutsche Post.

With its Brief system solutions, Deutsche Post offers a full service for running and optimizing the data and document-intensive processes involved in business communications. This includes the "Incoming mail digitization" service. A network of digitization stations sited throughout Germany scan the mail received by companies and organizations. The documents are processed at decentral locations, close to the companies themselves, and provided in digital format the very same day. If required, documents can be classified, their contents extracted and given a qualified electronic signature.
